Visa Information

Passport and Visa Requirements

All foreign visitors entering Japan must hold a valid passport for the duration of their stay. Depending on your nationality, you may also need to obtain a visa before traveling to Japan.

Japan has visa exemption arrangements with many countries and regions. Citizens of these countries may enter Japan for short stays (usually up to 90 days) without obtaining a visa in advance, provided that their visit is for non-remunerative purposes such as tourism, attending conferences, academic exchange, or business meetings.

Participants whose nationality is not eligible for visa exemption must apply for a Temporary Visitor Visa through the Japanese Embassy or Consulate in their country prior to travel.

Invitation Letter for Visa Application

Participants who require an official invitation letter for visa application purposes may request one from the conference organizers.

To obtain the invitation letter, the following conditions must be met:

The participant must have completed the conference registration.

If the participant is an author, the paper must be accepted by the conference.

The registration fee must be fully paid.

The invitation letter issued by the conference serves only as supporting documentation for the visa application and does not guarantee visa approval. The decision to grant a visa is made solely by the Japanese Embassy or Consulate.

Important Notice

The conference organizing committee can only provide the Invitation Letter and Notification of Acceptance after registration. The organizers are not authorized to intervene in the visa application process or influence the decision made by the Japanese immigration authorities.

Participants are strongly advised to start their visa application process as early as possible to ensure sufficient processing time.
